The Opportunity
We are seeking a detail-oriented, dependable, and positive Accounting Assistant who enjoys working with numbers and being part of a collaborative team.
This role is perfect for someone who thrives in a fast-paced environment, enjoys staying organized, and takes pride in getting the details right. You’ll play an important role in supporting the accounting department with day-to-day financial operations, helping ensure accuracy across billing, collections, payables, and reporting.

What You’ll Do
The Accounting Assistant supports the accounting department by handling essential financial tasks that keep the business running smoothly.
A large part of this role focuses on accounts receivable, including applying customer payments, ownership of collections through phone and email communication, supporting the monthly billing process, and helping resolve any customer account questions. Your attention to detail and communication skills will play a key role in maintaining strong client relationships, ensuring a great customer experience is provided.
You will also assist with accounts payable, including entering vendor invoices, processing credit card receipts, and helping ensure vendors are paid accurately and on time.
In addition, you’ll support account reconciliations and reporting, helping maintain accurate financial records and assisting in generating reports used by leadership. You’ll work closely with the Staff Accountant to ensure transactions are properly recorded and organized.
This role also contributes to process improvement efforts, helping identify more efficient ways to complete tasks while maintaining a high level of accuracy.
From time to time, you may assist with front office responsibilities, supporting the team as needed to ensure a smooth and professional experience for employees and visitors.
A Day in the Life of This Role
Your day might start by reviewing project work to ensure completion before generating invoices, processing incoming payments, posting transactions, and checking on outstanding accounts. You may follow up with a customer regarding a billing question or assist in resolving a discrepancy.
Mid-morning, you could be entering vendor invoices, organizing receipts, or assisting with processing payments. You’ll likely collaborate with the accounting team as well as our frontline team to ensure supply orders are received, coded, and recorded correctly.
Throughout the day, you’ll balance multiple priorities—responding to emails, updating records, assisting with reports, and supporting daily financial transactions through receipt of credit card statements while keeping track of payment deadlines. Some days you may help with collections, while others you might focus more on data entry.
In a fast-moving environment like ours, you may also jump in to help with front office needs or assist other team members. Before wrapping up, you’ll make sure everything is organized, accurate, and ready for the next day.

What We’re Looking For
We’re looking for someone who is organized, reliable, and eager to learn.
Successful candidates typically bring:
- 2+ years of accounting or bookkeeping experience
- Experience with QuickBooks (Desktop or Online)
- Strong attention to detail and accuracy
- Ability to multitask and prioritize in a fast-paced environment
- Strong communication and customer service skills
- Proficiency in Microsoft Excel and Office tools
- Comfort using tools like Google Workspace (Docs, Sheets, Gmail, Calendar) and newer technology like ChatGPT or Manus
- A positive attitude and willingness to learn
- Educational background in accounting (Associate’s degree, coursework, or technical training) is a plus
